What personal data TranscriptDock collects, why, who processes it and how long it is kept.

This policy explains what personal data TranscriptDock, a sole proprietorship of [YOUR LEGAL NAME] collects when you use TranscriptDock, why, and how long it is kept. Effective 15 September 2026.

What we collect#

  • Account data: email address, password hash (held by Supabase Auth), and the workspace settings you choose.
  • Usage data: API requests, job records, credit and caption usage, IP address and user agent for rate limiting and abuse prevention, and error logs.
  • Content you submit: video URLs, uploaded audio, and the transcripts we produce from them.
  • Billing data: handled by Paddle.com, our merchant of record. We receive your customer id, plan and transaction status, never card numbers.

Why we use it#

To run the Service you asked for, to bill you, to keep the Service secure and within its limits, to answer support requests, and to send account emails such as verification, receipts and material changes to terms. We do not sell personal data and do not use your content to train models.

Who processes it#

  • Supabase (authentication and database, AWS us-east-1)
  • Vercel (web hosting and API)
  • Oracle Cloud (transcript worker)
  • Cloudflare (uploads storage and DNS)
  • AssemblyAI (AI transcription of audio from links and uploads; audio is deleted from our storage after processing)
  • Paddle (payments, taxes and invoices)
  • Resend (transactional email)

Retention#

Transcripts and uploads are kept for your plan's retention period (7 days on trial, 30 or 90 days on paid plans) unless you delete them sooner. Account and billing records are kept while your account exists and for as long as tax law requires afterwards. Logs are kept for 30 days.

Your rights#

You can export or delete your transcripts from the dashboard or API at any time, and delete your whole account from settings. You may ask us to access, correct or erase personal data we hold by emailing support@transcriptdock.com; we answer within 30 days.
